The Enrolments Clerk is responsible for managing new customer enquiries, converting leads into active enrolments, and maintaining accurate records within the CRM system. This role plays a key part in driving business growth by delivering a seamless and positive customer experience from first contact through to enrolment.

Role Details:​

• Hours: Part-time (10–15 hours per week)

• Location: Onsite, Narellan

• Schedule: Flexible working hours required (morning and afternoons)

• Opportunity: Scope to increase hours based on performance and business needs

Key Responsibilities:

• Respond to all new enquiries (phone, email, social media, website) promptly and professionally

• Guide families through the end-to-end enrolment process, from initial enquiry through to confirmed booking. Including assisting families with class selection, availability, and program recommendations based on their needs.

• Maintain the CRM system, ensuring customer data is accurate, up to date, and well-organised.

• Follow up warm, cold, and waitlisted leads via calls, SMS, and email nurture sequences to support conversions.

• Monitor conversion rates, lead sources, and pipeline activity, providing regular updates and insights. Support reporting and analysis, identifying trends and opportunities to improve performance.

• Create and refine automations and workflows to streamline processes and improve enquiry-to-enrolment conversion.

• Work closely with marketing and operations to support retention and reactivation efforts.

• Contribute to ongoing improvements in enrolment processes and overall customer experience.

Skills & Experience:

• 2+ years experience in customer service, administration, or sales-focused roles (experience in swim schools or children’s services highly regarded)

• Excellent communication skills, both written and verbal, with strong phone confidence

• Proven experience using CRM and administration systems (Go High Level and UDIO highly regarded)

• Highly organised with strong attention to detail and data accuracy

• Ability to manage a varied volume of enquiries without compromising quality

• Results-driven with a focus on achieving conversion targets

• Flexible working hours required (morning and afternoons)
